How we handle your data and protect your privacy

Privacy Policy

This Privacy Policy explains what we access, how we use it, and your choices. Nothing in this Policy limits rights you may have under applicable law, including the GDPR/UK GDPR, CPRA/CPA, LGPD, and similar laws.

What MailBoom Does

MailBoom integrates with Gmail via Google OAuth to help you review and archive messages in batches. The Service relies on the Gmail API to list, label, and modify messages based on your instructions.

No Cloud Processing of Email Content: MailBoom is designed as an on-device first application. We do not transmit your email bodies to our servers for processing. All categorization, summarization, and rule-matching occurs locally on your device or directly via Google APIs.

Data We Access and Process

Depending on the features you use, we may access and process the following categories of data:

  • Google Account Data: Name, email address, and profile image (for authentication and display).
  • Gmail Metadata: Message IDs, thread IDs, label IDs, sender info, dates, and snippets (used for sorting and grouping).
  • Gmail Message Content: Plain text or HTML body content is accessed only when you view a message or enable on-device analysis features (e.g., summarization).
  • Usage & Diagnostic Data: Anonymized crash reports, performance metrics, and device type information (to fix bugs and improve stability).
  • On-Device Derived Data: Local scores, priority flags, and user-defined rules.

Google API Services User Data Policy ("Limited Use")

MailBoom complies with the Google API Services User Data Policy, including the Limited Use requirements.

  • No Transfer: We do not transfer information received from Google APIs to any other app, except to provide user-facing features, for security purposes, or to comply with applicable laws.
  • No Human Review: We do not allow humans to read your email data unless: (a) we have your specific consent for a specific message to resolve a support issue; (b) for security purposes (e.g., investigating abuse); or (c) to comply with applicable laws.
  • No Advertising: We do not use Google user data for serving advertisements, including retargeting, personalized, or interest-based advertising.

On-Device Storage & Retention

  • Local Storage: Email snapshots, search indexes, and analysis rules are stored locally in the app's secure sandbox on your device.
  • Retention: We retain on-device data only as long as necessary to provide the features you enable. You can clear this cache at any time in Settings.
  • Server Logs: Our servers do not ingest or retain your email content. We may retain transient server logs of API requests (metadata only, no message bodies) for security and operational monitoring for up to 30 days.

How We Use Data (Purposes)

We use data solely to:

  • Provide the Service: Authenticating you, fetching emails, and applying your archiving rules.
  • Improve the App: Analyzing crash logs and aggregate usage metrics to fix bugs (e.g., "App crashed on iOS 18").
  • Security: Detecting potential fraud or abuse of our API quotas.

Legal bases for processing (EEA/UK): Performance of a contract (Article 6(1)(b)); our legitimate interests in improving and securing the Service (Article 6(1)(f)).

AI & Automated Processing

MailBoom uses on-device algorithms and machine learning to assist with prioritization and summarization.

  • No Legal Effect: These processes provide informational assistance only and do not produce legal or similarly significant effects.
  • Control: You retain full control to review, override, or ignore any automated suggestion.
  • Privacy: AI inference runs locally. Your data is not used to train global models for other users.

Third-Party Services

  • Google Gmail API: Use is subject to Google's Privacy Policy.
  • Apple: If you purchase a subscription, the transaction is handled by Apple. We do not process or store payment card details.
  • Analytics Providers: We may use standard mobile analytics (e.g., Apple, Firebase, Sentry) to collect anonymized crash reports. These tools do not have access to your email content.

Your Rights and Choices

Depending on your location (including Colorado, California, and the EEA), you may have rights to access, correct, delete, or restrict your personal data.

How to Delete Your Data:

  • Delete Account: You may disconnect your Gmail account inside the app settings. This revokes our access token and deletes all locally stored data associated with that account.
  • Revoke Access: You may specifically revoke MailBoom's access to your Gmail account at any time via Google Security Settings: https://myaccount.google.com/permissions
  • Requests: Contact us at help@mailboom.io to exercise your privacy rights.

California/Colorado Residents: We do not "sell" or "share" personal data for cross-context behavioral advertising. We do not use sensitive personal information for inferring characteristics.

Children's Privacy

The Service is not directed to children under 13 (or higher age depending on jurisdiction). We do not knowingly collect personal data from children.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be indicated by a new "Last Updated" date. Continued use constitutes acceptance.
